WHAT YOU NEED TO KNOW ABOUT YOUR TRAVEL ARRANGEMENTS
About Our Host Hotel
The Oasis Cancun and The Grand Oasis Cancun
In both March and April of 2011, Dr. Mayle and I traveled to Cancun and participated in a site inspection of 15 possible hotels. After a lot of walking, asking questions, picture taking and aggressively interviewing hotel staff members, we made our decision. The Oasis Cancun and The Grand Oasis Cancun is a beautiful all-inclusive property. The staff was overly hospitable and very excited to be considered to host the 2012 World Championships. The entire hotel has over 1700 rooms which means we will be able to come back for the next couple of years (until we grow out of this hotel). We have a mininum number of rooms we must book and a deposit schedule we must maintain. Please book early!
Team Spirit
Dr. Mayle and I have spoken to the hotel’s “animation staff” regarding organized “fun” games. Water
volleyball, king of the island and other games are being planned. This is a great way for all of us to get to
know our World Congress friends from around the world. Remember to bring your country’s flag to hang in
your hotel window. We want to cover the hotel with the colors! Don’t forget that we are from many Nations.
Yet, we are one big family. So, let’s cheer for every competitor and National Team.
Special Early Deposit Bonus
For those making their deposits before June 1, 2011, you will be invited to a special “Morning With The
Masters Seminar”. This 3 hour class will be conducted by our very own Grandmasters. Each will be
teaching a 30 minute lesson. You won’t want to miss this opportunity. We are also offering, for each
person that gets their deposit in early a chance at a drawing for a FREE CRUSE for TWO! Make sure to
have your deposits in before June 1, 2011!
About Final Payment
All final payments must be received in the office no later than November 15, 2011. The hotel will release
any rooms that are not paid in full on November 16, 2011.
Registering for Competition
Even though you have secured your travel arrangements through my office, you will still need to register to
participate in the competition. Please go to the World Congress of Martial Arts website to register to
compete - www.wcoaa.org
Inviting More Guests
The deposits have been rolling in BUT....Please continue to talk to your friends about this most exciting
opportunity. Our group reservation will be reviewed several times leading up to our departure date. As a
part of this review process, I must release any unreserved space back to the hotel at the time deposits are
due. This means we will only be able to guarantee the group pricing up to July 30, 2011. Individuals can
inquire after this date, but pricing will be from general inventory rather than from group pricing and as long
as rooms are still available. Simply stated: if anyone is thinking about coming along, they need to get
their names and deposits in...as soon as possible!
Accuracy of Information
Since 9/11 the travel industry has gone through quite a change. The most important change has been
security. Because of this heightened security, it is imperative we have exact information. Names need to
match your ID's exactly. There is no exception to this rule. Any changes made to a reservation after
ticketing will result in fees being assessed by the airlines.
Insurance
Travel insurance is highly recommended. I have enclosed a brochure for your information. If you would like
the cost of this insurance or to sign up for this insurance, please call me. I will be happy to assist you.
Special Needs
On the sign-up form, we asked you to let us know if there were any special needs or existing medical
conditions that we should inform the airline, hotel or transfer company about. Please be sure that we have
this information so that it can be noted in your individual reservations. The airline, hotel and transfer
company work diligently to assure that all guests, with or without special needs, have a most enjoyable and
problem-free vacation, and this information will aid them in their efforts.
Curfews
The Executive Board of the World Congress has adopted the following curfew rules that will be in effect
during your entire stay in Cancun...
Children 1-13 in rooms by 10:00 PM, unless accompanied by parent or guardian Teenagers 14-17 in rooms by 12:00 Midnight, unless accompanied by parent or guardian. Individuals breaking these curfew rules will be brought before a hearing of the disciplinary board and are
subject to the board’s decision.
Personal Conduct
It is fully understood that this event is full of fun and is a yearly vacation for most. In no way do we want to
impede this experience. At the same time remember you are always representing the World Congress,
your individual country and the master who trained you. Your conduct should always be that which brings
pride, esteem and integrity to this entire organization. Meeting people, cocktails, fun competitions, dancing,
excursions and how you treat the hotel staff are all part of this experience. Any of these things taken to the
extreme can be harmful both physically and publicly for YOU and The World Congress of Martial Arts. Our
Code of Conduct and Dress Code will include “NO BALL CAPS or HATS of any kind while you are on the
stage. Further, all competitors are required to wear their Full National Team Warm-up or Track Suite at all
times whilst traveling to and from the event as well as, on stage for the Opening, Award & Closing
Ceremonies and for photographs on stage. Any conduct from a World Congress Member that carries the
potential to harm the reputation of this organization is subject to a hearing before the disciplinary board.
About Excursions
I have been in negotiations with several excursion companies in Cancun, Mexico. Our official excursion
company is called Amstar. Every time you book an excursion, Amstar will donate money to the World Congress. The more money they give the organization, the cheaper it is to coordinate these events. It is a
win - win situation for all. Please use Amstar for all excursions...they will have a representative on-site
during our stay in Cancun. Watch my website www.DanTheTravelMan.com and the excursions will be
added within a couple weeks
About Air Schedules
Please call your airline at least 24 hours prior departure to reconfirm your flight schedule. Airlines are
asking that passengers arrive between 90 to 120 minutes prior your scheduled departure. Most airlines
have begun to charge for baggage. To find the baggage fees, please call your airline or visit your airline's
website.
Proof of Citizenship
At this time, a valid Passport is required as Proof of Citizenship.
About Checking Into Our Hotel
It is important to understand that check in time is between 3PM-5PM at our hotel. If you arrive early there is
a good chance your room will not be ready. Please make the best of this time. Lunch will be
available...have a drink...enjoy the warm weather...make some new friends...bring a bathing suit in your
carryon luggage. Use the Special Guest Room to change and go for a swim or find a beach chair and
RELAX! Starting your competition/vacation stressed-out is not good for anyone.
Booking Your Travel Arrangements
All travel for this World Competition must be booked with our World Congress Travel Agent. The reasons
for this are many. The most important are...1) We have had to commit to a minimum number of rooms to
receive our special group pricing. If you book somewhere else, we do not get the credit for your room. 2)
We have split the cost of this event among the entire group. That means the cost of the meeting rooms,
microphones, stages, air conditioning, paperwork, web design, promotions and other audio/visual
equipment for music and hotel staff costs are shared by all. If you book somewhere else, you are not
paying your fare share for this event.br /> Traveling with Prescription Drugs
It is required that any prescription drugs be labeled clearly as to the exact drug name and condition for
which it is intended. You may want to have your doctor write out a copy of any of your prescriptions to have
available for possible inspections. It is advisable to leave any prescription medications in the original
bottles rather than in a separate container.
Change - Cancel Policy
We are using several tour companies from around the globe and each company has their own cancellation
policies. Here are the basic cancel/change rules:
All funds directed toward airlines are fully nonrefundable. You can cancel your air ticket and receive the full
value toward another air ticket with a fee. These fees usually begin at $150USD and go up from there.
All funds directed toward your hotel stay is refundable up to November 15, 2011, with a $75 USD fee. Any
changes/cancellations made from November 15, 2011, to December 15, 2011, will carry a fee equivalent to
two nights stay. All changes/cancellations made from December 15, 2011, to the check in date are fully
nonrefundable/nonchangable.
About The Pricing (Groups?)
The pricing you are seeing on this website is based for individuals and families (under 10 passengers). If
you have a group of people (over 10 passengers), please contact me for group pricing. To qualify for group
pricing, all passengers must travel on the same itinerary from beginning to end.
Air Fares
Over the past 30 days the price of gasoline has again become a global pricing issue. This pricing issue will
soon impact the airline industry. We have received several notifications that airlines will be increasing fares
to offset these increased fuel costs. If you want to avoid these fare increases…ticket as soon as possible.
By ticketing early, you secure pricing at today’s rates rather then the future high prices that have been
predicted.
Finally, I would like to be your personal travel agent. If you are considering other vacations - I would
appreciate the opportunity to help you.
If you have any other questions, please don’t hesitate to contact me.
Thank you for traveling with All-Star! I’m looking forward to the adventure!
